July DSO All Hands Photo Roundup

This year’s July All Hands meeting felt different. With the transition to DSO, the focus shifted to inclusivity and recognizing the diverse departments now under the DSO umbrella. It was a wonderful occasion to celebrate and appreciate the dedication of our staff, who work tirelessly every day to keep the campus running smoothly. The event was a testament to our commitment to valuing every member of our team and acknowledging their hard work.

Chief Tate took a few moments to recognize Officer Williams, Officer Diaz and Officer Woodard, for their outstanding efforts this past year.

DSA needs your help for Welcome Bag Fun!

It’s that time of year! As we draw closer to move-in, DSA is reaching out for assistance putting the Student Welcome Bags together. The bags this year are going to be fabulous

Date: Weekdays between 8/2 – 8/9,
Time: 9am – 5pm

If you or anyone on your team (including a GA or undergrad student) can volunteer an hour or more, please add your name or team name on the Welcome Bag Volunteer sheet.

There are 3000 bags to assemble, so any amount is helpful. Please share far and wide!

ERAPPA Scholarship Applications

To support the education, personal development, and advancement of facilities professionals, ERAPPA has established scholarships to help with the financial support for several APPA Leadership Training and Facilities Management skills development programs at APPA U.

The next application process for education scholarships opens on Monday, July 22, 2024, and closes on August 16, 2024.  Winners are announced at the ERAPPA Annual Conference.  Eligible applicants must be employed by an ERAPPA member educational institution. 

ERAPPA’s educational scholarships are made possible by revenue from the ERAPPA Annual Conference and by the ongoing support of our Business Partners.

DSO Training: FERPA workshop and Information Privacy – When does HIPAA apply?

Each week we’ll be sharing the upcoming training and professional development opportunities available here at GW.

FERPA workshop for GW staff and faculty
This interactive workshop will address FERPA basics and explore requirements for the protection of student records, when those records may be shared, and discusses some of the applicable exceptions to the FERPA requirement for consent.

GW staff and faculty members are encouraged to submit their questions via the event’s registration survey.

Health Information Privacy — When does HIPAA apply?
The University maintains health information related to its students, employees and community members, either at the Student Health Center, in student records or in records maintained by the university clinics. Whether these records are covered under FERPA or HIPAA, or in certain instances are not covered under any privacy law, can be a very confusing topic.

This workshop will provide an overview of the privacy of health information, aiming to clarify what information is covered by what law, when, and where.

You may have noticed a new giant green bin in Kogan Plaza 👀Sustainability is excited to announce that they have a new mobile app-enabled compost bin in Kogan Plaza (the first of its kind in all of DC!) allowing you to drop off compost at your convenience! 

Click here to download the MetroSTOR app and get composting! You now have the chance to be your own compost educator: ensure that you double check your compost and avoid any contamination such as rubber bands, produce stickers, and other non-compostable items. Happy composting! 🍎 🍌🥕

AiM Reboot Roundup for July 2024

If you’re part of DSO and a regular user of AiM, FixIt, or Go (the mobile Work Management app), you’re likely already aware of the ongoing AiM Reboot effort. In this post, we’ll do a quick summary of what it’s all about and catch you up on some of our progress

What is the AiM Reboot?

“AiM Reboot” is shorthand for the changes we’re making to the AssetWorks’ products listed above in an effort to create a more user-friendly, flexible, accurate, and consistent experience across all three. The project is being completed in phases, but many of you should see changes beginning in October 2024.

What you should expect

  • An IMPROVED system
  • A series of small changes with high impact within FixIt and AiM
  • Modified ways of doing some things with greater efficiency
  • Adjustments to items that caused users
  • Training, including hands on sessions and useful guides

What you SHOULDN’T expect

  • A completely new system
  • A new look for AiM
  • A comprehensive redesign of FixIt
  • A new way of doing everything

What’s been worked on?

As mentioned, the AiM Reboot is being worked on in phases, but some of the things that the project team has worked on so far include:

  • Redesigned AiM Workdesks and universal Dashboards
  • Additional ways to add phases to existing Work Orders through FixIt rather than AiM
  • More tools for processing tickets in FixIt to avoid having to make corrections in AiM
  • Improved status descriptions
  • Removed outdated data such as demolished buildings, irrelevant assets, and employees that no longer work for GW
  • Easier to understand Work Center names (for example, “APPLIANCE” instead of “WC13”)
  • Clearly written Standard Operating Procedures (SOPs) to help with onboarding and to clarify processes

FPCM Forward Awards: July 2024

The FPCM forwards awards commemorates staff for their commitment to GW’s Service Priorities: Safety, Care, and Efficiency. Outstanding new employees receive the Rookie Award and those that have demonstrated a mastery of all our Service Priorities receive the Only at GW Award.

Rosa Ramos

Rosa does an amazing job keeping Munson Hall clean and it shows on every Core Audit Inspection- Her building continues to score in the 90% average range- well above APPA standards. THANK YOU, ROSA! -Anniecia Philius


Efficiency
Wallace Vauss

Wallace is the only plumber in Zone 1, which is arguably the most demanding zone for plumbing, particularly given the extensive and specialized plumbing requirements of Ross Hall and SEH. Nonetheless, Wallace handles the load seamlessly, giving excellent customer service to all stakeholders and meeting their needs in a timely manner. He is currently carrying the load that was previously managed by both a plumber and a senior plumber, but he manages his time efficiently and communicates thoroughly with leadership regarding any challenges he faces. Over the last twelve months, Wallace has individually completed more than 1500 tickets, surpassing all zone technicians in ticket volume! He deserves to be recognized! – Vanea Pharr

Nicolae Ciochina

I nominate Nicolae Ciochina for his exemplary performance from day one efficiently assessing the needs of the Campus as it pertains to the Life Safety Systems, taking charge in reconvening in house testing and maintenance. Removing the need to rely on 3rd party vendors to maintain system performance needed to maintain building records for occupation of over 70 campus buildings. – Almasi Sabir

Larry hit the ground running upon joining the GWU team, quickly establishing rapport with the team, forging meaningful professional relationships with stakeholders, and actively seeking ways to improve the operations and facilities within the zone. A clear team player, he collaborates effectively with the other Zone Managers to maximize operational efficiency across the entire FBG organization. – Vanea Pharr

There is no doubt in my mind Steve Morant is the rookie of the year. He has joined our team and has exceeded all expectation thus far. He has shown he has journeyman level skills and his attitude has been refreshing. He has volunteered to work weekends and overtime in order to help out the universities interest. Overall his hiring has been a homerun. – Eslie Murraine Jr
